This policy explains what personal data BYVANA DESIGN collects when you use the quote and enquiry form or book an intro call on byvana.design, why we collect it, and your rights over it. BYVANA DESIGN is a design studio run by Shahil Rahman, based in London, United Kingdom.

Who is responsible for your data

The data controller is Shahil Rahman, trading as BYVANA DESIGN. You can reach us at contact@byvana.design for any question about this policy or your data.

What we collect

We only collect what you actively submit:

  • Your name and email address (required, so we can reply to your enquiry and, if you book a call, schedule it).
  • Your company name and any note you add (optional).
  • The rough scope and price range you assembled in the quote builder.
  • If you book an intro call, your time zone — so we can show and confirm a time that works for you.

We do not use analytics, advertising, or tracking cookies, and we do not collect anything you do not actively submit.

Storage on your device

So you can pick up an unfinished quote and so we recognise you on a return visit, we save a little information in your browser's local storage: your in-progress quote, and — once you've enquired or booked — a small record of that enquiry and booking (including your name and email). This is functional storage the quote and booking experience needs, not analytics or tracking. It stays on your device, and clearing your browser's site data removes it. Your in-progress quote is cleared automatically once you send it.

Why we use it, and our legal basis

We use your details solely to respond to your enquiry, to schedule and hold any call you book, and — if you choose to work with us — to carry out that work. Our legal basis is our legitimate interest in responding to people who contact us and arranging the calls they ask for; replying to a quote you requested is a transactional response, so we do not ask for separate consent for it. We never use your details for marketing without asking you separately, and we never sell your data.

Who processes it

We use a small number of trusted third parties to run the site. Each only processes your data on our instructions:

  • Web3Forms delivers your enquiry to our inbox — your form submission passes through their service.
  • Cal.com schedules your intro call. When you book, your name, email, and time zone are sent to Cal.com (we use their EU service), which adds the call to our calendar and emails you a confirmation and calendar invite.
  • Vercel hosts the website and may log technical request data such as IP addresses for security and reliability. We also use your IP address briefly, in memory, to rate-limit the booking endpoint and prevent abuse; it is not stored.

Some of these providers process data outside the UK (for example in the EU or US). Where data is transferred outside the UK, we only use providers that offer appropriate data-protection safeguards.

How long we keep it

Enquiry emails are kept in our inbox for as long as we are in contact, and for up to 12 months after our last correspondence, after which they are deleted — unless we begin working together, in which case they are kept for the duration of that project and our legal record-keeping obligations. Calls you book are held in our Cal.com calendar for as long as needed to run and follow up on the call. Anything saved in your browser's local storage stays on your device until you clear your site data.

Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or erased, and to restrict or object to its use. Where we rely on legitimate interest, you can object to that use at any time. To exercise any of these, email contact@byvana.design.

If you believe we have mishandled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first.

Changes to this policy

If we change how we handle data, we'll update this page and the date above.
